BUILDLOGIC SITE DIARY APP

 

  1. Site Diaries?

Also referred to as the construction log or site journal, the site diary is your construction project's record of all its worksite progress including all events and activities that could affect your construction progress and quality of your work.

Every builder, contractor, subcontractor, engineer, superintendent, and foreman on a construction project should keep and maintain a daily diary that records their personal observations and conversations relating to the project.

Usually, a Site Diary is completed by the site supervisor for the job.

 

  1. Activating Site Diaries for Site Supervisors 

Buildlogic Client Administrator function – If you are adding Site Diaries to an existing mobile user, as show the snapshot below, highlight Mobile Apps and go to the Functions and tick the box for Site diary.

If you are adding a new user, and you don’t have enough licenses for Mobile Apps available, contact Buildlogic at support@buildlogic.com.au and additional licenses will be added.   You can then add your new users.  

 

Once you have given a user access to Mobile Apps/Site Diaries, and they have not used any of the other Buildlogic Mobile Apps previous, please ensure you send them an invite to authenticate to the mobile app and sign in via the Send Invite button.

 

 

Existing mobile app users will see site diaries added when they sign into the app.

 

  1. What else needs to be set up at the Web end?

Buildlogic Client Administrator function - When a site supervisor submits a site diary, it comes into the Buildlogic web into the Document Register as both a word and PDF document.   These 2 templates are loaded on all sites.   As they can’t be changed, they are not visible to any user of the system.

However, the Document Register needs to be activated for the users who need to see Site Diaries after they are submitted by a Site Supervisor.   This is under Core as shown below.

 

 

 

 

 

  1. How to use Buildlogic Mobile Site Diary

After you have received your sign-on and password from your Buildlogic Client Administrator via an email, you need to authenticate to use the App and via the links in the email you receive, you will be able to download the Buildlogic Mobile App from the App or Google stores and sign in.

Look for the following Buildlogic Logo at the App stores and follow the instructions to download.

 

 

You will be presented with the following screen once you have download so you can sign-in with your user’s name and password.

If you only have access to site Diaries, Action Items or Deliveries, you would only see Jobs on the screen when you log in.

If you already have access to Timesheet or Timesheet approvals they will also be listed on the screen when you log on.

 

 

At this point we are interested in Site Diaries, which is available when you select Jobs.

On selecting Jobs, you will be provided with a list of jobs.  Highlight the job and hit the arrow.  The next screen will look something like this.

Select Site Diary and a list of jobs will be displayed.

Select the orange cross to create your first site diary.    Today’s date will show but you can select another date if required.

Also not on this screen, after your first site diary is created, you can copy the values from an existing Site Diary, saving on the need to enter data that is the same each time.

Select the organ Create at the bottom of the screen.

The form will load and you can start to input data.

 

  1. Information to be input into Site Diaries

 

Following are the fields available on the Site Diary.

The next section is Site Phones, select the orange cross to open up the following screen.

 

You can either take a new photo or use your photo library.    If you take a new photo, you can retake if required and then you will be asked if you want select more photos or keep current section.

You can add as many photos as required.

Finally at the bottom of this screen you can add a signature and save.

On Save you will be returned to the screen where you can either Save Draft or Submit Form.

If you save the form, you can go back and edit the form later in the day.

If you submit the form, it will be uploaded to the web and you will not be able to edit it.

When you create your next site diary, you will see a list of the site diaries that have been submitted.

  1. Site Diary as seen by Web users

On the submit of a Site Diary via the mobile, it comes into the web version as a PDF and word template. These are accessible from the Doc Register module. 

The word document can be edited if required.    Highlight the diary, select edit and you can then open up the word document.

It you click on the little orange icon  , this opens up google maps and show you where the site diary was created.

  1. Other information in the Site Diary

In the creation of the site diary, if you are using other Buildlogic Mobile Apps including timesheets, deliveries and action items, they will be merged into the bottom of the site diary on creation.

  1. How do I update my Mobile app?

At the bottom of the sign-on screen, there is an icon with the word Me under it - .

If you click on Me, you can change your password, update your version if there is one available plus other information is available about your sign on.   At the bottom of this screen, you can also log off the application completely.

The Home icon at the bottom of the screen will take you to the main menu.
