Progress Claims Index - Screen Guide

Progress Claims Register

The Progress Claims Register is used to manage and track client progress claims for a job, including amounts claimed, received, and outstanding.
This screen provides full visibility of claim history and integrates with the accounting system for financial tracking.

Grid Columns Explained

  • Accounting System Link - Link icon indicates whether or not a claim is linked to an accounting system record
  • Claim # – Unique progress claim number
  • Claim Date – Date the claim was issued
  • Type – Claim type (e.g. normal, practical completion, final completion)
  • Claim Amount – Total value of the claim
  • Retention – Current retained amount per claim
  • Amount Received – Payments received
  • Date Received – Payment dates
  • Outstanding – Remaining balance
  • Accounting System Reference – Linked transaction reference
The grid provides a financial snapshot of all claims and their status.


Toolbar Actions

Create & Edit

  • New – Create a new progress claim (validated before opening)
  • Edit – Modify selected claim
  • Double-click a row to open the claim for editing

Delete

  • Delete selected claim with confirmation
  • System checks if deletion is allowed before proceeding

Other Functions

  • Link to Accounting System - Link a progress claim to an existing accounting system claim
  • Remove Accounting system link Remove link to accounting system for selected claim


Accounting System Integration

Progress claims can be linked to transactions in the accounting system.

Linking/Sending

  • Generally a claim is sent to the accounting system from inside the claim itself using the send to AS button
  • If you want to link an existing claim to an AS record, select a claim and choose Link to Accounting System
  • Select a matching transaction from the popup list
  • Confirm to create the link

Unlinking

  • Use Remove Accounting System Link
  • Removes the connection to the accounting transaction
Icons in the grid indicate whether a claim is linked or unlinked.

Validation & Controls

  • New claims are validated before creation
  • Deletion is restricted if the claim is linked or locked
  • Toolbar buttons enable/disable depending on record status
These controls ensure data integrity and prevent invalid financial actions.

Tips

  • Claims are built on top of each other so you can only send the latest claim to the accounting system
  • If you need to edit a previous claim you can delete the newer claims first to unlock previous claim, you will need to re-create the new claims if you need to edit an old claim
  • Regularly review outstanding claims to maintain cash flow
  • Link claims to accounting transactions for accurate reconciliation
  • Verify claim amounts before submission as making edits after the fact can be time consuming due to above mentions
